Kickoff Meeting

A project kickoff meeting is the formal start of execution — the moment the team, sponsor and key stakeholders align on the project’s purpose, plan, roles and ways of working before the real work begins.

A kickoff meeting is the first official gathering of the project team and stakeholders once a project is approved and planned. Its purpose is alignment: to communicate the project’s objectives and business case, walk through the scope, schedule and roles, agree how the team will work and communicate, and build shared commitment. It marks the transition from planning to execution and sets the tone — done well, it starts the project with clarity and momentum; skipped or done poorly, it leaves people guessing.

Why it matters

A kickoff turns a collection of documents and assignments into a team with a shared understanding. It ensures everyone hears the same version of the goals, scope and expectations at the same time, surfaces questions and concerns early, and establishes the working agreements (meeting cadence, tools, escalation paths) that prevent friction later. It also signals sponsor commitment, which motivates the team.

When to use it

Hold the kickoff at the start of execution, after the charter and initial plan exist but before substantive work begins. For phased or large programmes, run a kickoff at the start of each major phase. Even small projects benefit from a brief kickoff to align the team.

How to use it

  1. Prepare: confirm the agenda, invite the right people, and circulate the charter and plan in advance.
  2. Open with the sponsor stating why the project matters and its objectives.
  3. Walk through scope, high-level schedule, milestones, roles (RACI) and success criteria.
  4. Agree ways of working: meeting cadence, tools, communication and escalation paths.
  5. Capture questions, risks and actions, and close with clear next steps and owners.

Example

For a data-migration project, the sponsor opens by explaining the compliance deadline driving it. The PM walks through the six-week plan, the RACI, and the weekly cadence. The DBA raises a concern about legacy data quality, which is logged as a risk with an owner. Everyone leaves knowing the goal, their role, and the first week’s actions.
